Create a project or to-do list template

First things first, go to the Dashboard and click the Templates tab (upper right).

You’ll default to the view for Project templates. Look below to to-do templates.

Project templates let you set up a standardized project with to-dos, milestones, and messages. You can then use this project template to create new projects. A new project created from a project template will be auto-populated with all the to-do lists, milestones, and messages from the template. It’s a huge time saver that’s especially useful if you do lots of similar projects!

Click the link that says Create your first project template and name the project template:

Then add the content you want to show up in this template:

You can only assign milestones or to-dos to people in your own company when you are creating the templates. When you actually create a project from a template you can go in and assign to-dos and milestones to anyone else from any other company that you assign to the project.

Note: Templates cannot be made from existing projects and you cannot duplicate a template.

Milestones and templates

Set up the project template by selecting Add the first milestone. When setting up Milestones, you pick relative dates like “Week 1, Monday” or “Week 3, Wednesday”. These relative dates are then used to set up actual dates when you create the actual project.

You can only assign milestones or to-dos to people in your own company when you are creating the templates. When you actually create a project from a template you can go in and assign to-dos and milestones to anyone else from any other company that you assign to the project. 

You are not able to create events within templates.

What is a milestone?

A Milestone is a major event, launch or due date your team is working on. You can use milestones to mark the end of a project, the due date, or major events along the way.

For example, if your team is working on a website launch, all the things you need to do for that launch will be to-dos. The date of the launch and the dates you need to deliver different items will be milestones.
You can also relate Milestones to To-Do Lists to see which to-dos need to be finished to mark a milestone as complete.

To-do templates

To-do list templates allow you to save time and typing by creating frequently used to-do lists which you can then add easily to any project. To-do list templates are global which means they are available to you from within any project.

From the Dashboard click the Templates tab on the right side of the screen.

Then click on the link that says To-Do Templates.

Then click on the link that says New to-do template.

Create to-do list templates just like normal to-do lists.

Any lists you make here will appear in a pulldown when you create lists inside your projects. Then you can just choose a template and it will load in — saving you time and typing. ✨

  1. Go into a project 
  2. Click the To-Do tab
  3. Click the New to-do list link
  4. Click on Use a to-do list template link 
  5. Select the to-do list template from the pulldown that appears and click on Create this list.

Once you hit the Create this list button, the to-do list page will reload and the selected template will now be loaded in your new to-do list screen. You can then adjust the list title or items and assign responsibility for the items.

Note: Clients can’t create templates, only people who are Administrators in your own company’s account can.

Deleting a template

Begin by clicking on the project template, then on Project Template Settings on the top righthand side of the page.

Again on the righthand side, click on the Yes, I understand — delete this template. 

You'll get a pop-up asking you to confirm this and letting you know that deleting the template will not have an effect on the projects you previously created with this template.
